Your uploaded document may reveal far more information to an AI tool than it actually needs to answer your question.
Uploading a PDF, Word document, spreadsheet, résumé, contract, or report to an AI tool can save a lot of time. You can ask AI to summarize it, explain difficult sections, find information, or help rewrite it.
The problem is that the same document may contain personal, financial, confidential, or hidden information the AI doesn’t need for the task.
The safest approach is to give the AI only the information it needs. So before uploading a document, make a separate copy, remove unnecessary sensitive information, check for hidden data, and upload the cleaned copy instead.
What Sensitive Information Should You Remove?
You do not need to remove every name or number from every document. Remove sensitive information that isn’t necessary for the task you are asking the AI to perform.
1. Remove identity information that the AI does not need.
Remove identifying information when the AI does not need it.
This may include:
- Full names
- Dates of birth
- Home addresses
- Personal phone numbers
- Personal email addresses
- Passport numbers
- Driver’s license numbers
- National identification numbers
- Social Security numbers
- Employee or student IDs
For example, if you only want AI to improve the wording of your résumé, it usually does not need your home address, phone number, or other identifying details.
Alternatively, you can replace necessary context with placeholders such as:
- [NAME]
- [ADDRESS]
- [PHONE NUMBER]
- [EMPLOYEE ID]
- [CLIENT NAME]
This lets the AI understand the document without receiving your real information.
2. Remove financial information.
Do not include financial details in the uploaded document unless the task requires them.
Remove information such as:
- Bank account numbers
- Credit or debit card numbers
- Routing numbers
- Tax identification numbers
- Payment credentials
If you want AI to analyze spending or financial data, you can usually keep the amounts and categories while replacing account numbers, names, and other identifying information.
For example, change:
Account 123456789 belonging to John Smith
to:
Account A
You may keep financial values as is if they are necessary for the analysis.
3. Never include passwords or authentication secrets.
Do not upload a document having passwords, one-time verification codes, recovery codes, API keys, private encryption keys, authentication tokens, or similar credentials to an AI service.
These details don’t provide useful context for document analysis and could expose accounts if they’re leaked or your AI tool is compromised.
4. Remove information about other people when it is unnecessary.
Your document may contain sensitive information belonging to someone else.
This can include:
- Names and contact details
- Identification numbers
- Signatures
- Account information
- Private messages
- Medical information
- Employee records
- Customer information
Do not assume that you can safely upload someone else’s information simply because the document is already on your computer. Remove or replace information about other people when the AI does not need it.
5. Remove confidential work information.
Business documents can contain information that should not leave your company premises.
A few examples are:
- Customer lists
- Unpublished financial results
- Internal pricing
- Contracts
- Confidential meeting notes
- Business strategies
- Unreleased products
- Proprietary source code
- Internal system details
- Credentials and security information
Your employer may also have rules prohibiting you from uploading certain information to external AI tools.

- Never edit the original copy of an important document. Create a duplicate, remove the sensitive information from that copy, and review it before uploading.
- Do not simply cover sensitive text with a black box. The original text may remain underneath and could potentially be copied, searched, or extracted.
- Check for hidden information and metadata. Word, Excel, PowerPoint, and PDF files can contain comments, author names, tracked changes, document properties, hidden text, and other data that may not be visible on the page.
- Review the cleaned document one more time. Search for names, email addresses, account numbers, company names, and other details you intended to remove. Also check images and scanned pages manually because sensitive information inside them may not appear in a normal text search.
- Upload only the information the AI actually needs. If the AI only needs one paragraph, table, or page, share that section instead of uploading the entire document.

Before sending a document to an AI tool, ask yourself these questions:
- Does the AI actually need the entire document?
- Have I removed unnecessary personal information?
- Have I removed account numbers and financial identifiers?
- Have I removed passwords, API keys, authentication codes, and other secrets?
- Have I removed unnecessary information about other people?
- Have I removed confidential company information that I am not allowed to share?
- Have I checked comments, tracked changes, metadata, and other hidden information?
- Am I uploading the sanitized copy instead of the original?
- Have I checked the AI service’s current privacy and data controls?
If the answer to all of these questions is yes, you are in a much better position to use the document with an AI tool without sharing information that was never needed.
